Policy toward the protection of customers’ personal information

Customer personal information such as name, address, telephone number, and e-mail address, etc. are obtained and used by Hino Motors Vietnam. (hereinafter referred to as the “Company” or “We”) to enable us to provide the customer with our products, services, information and so on. In light of the importance of proper handling of the personal information of the customer (hereinafter referred to as the “Personal Information”), we will handle the Personal Information pursuant to the following policy:

1. Purpose of Using of Personal Information

The Company will use the Personal Information only for the purposes publicly announced or notified to the customer, and will never use any Personal Information for any other purpose.

2. Provision of Personal Information to Third Party

In principle, we will not provide any Personal Information obtained from the customer with any third party except:

• • (i)   Where the Company obtains the relevant customer’s consent;
  • (ii)  Where the Company entrust the handling of the Personal Information in whole or in part within the scope necessary for the achievement of the Purpose of Use of Personal Information described in 1 above;
  • (iii) Where the Company is required cooperation in order for the government or local authority, etc. to implement public affairs activities; or

3. Sharing of Personal Information

The Company will share the Personal Information obtained from the customer among the Hino group companies for certain purposes such as providing products and services as publicly announced separately.

4. Proper Control of Personal Information

The Company will implement necessary and proper control measures to prevent the Personal Information held by the Company from being leaked, lost or altered, etc.

The Company may outsource to any party handling of the Personal Information to the extent necessary for its service, and the Company will implement necessary and proper control over such outsourcee in such a case.

5. Request for Disclosure, etc.

The Customer has the right to request the Company to disclose, correct, or suspend the use of his/her own Personal Information. If a Customer wishes to access his/her own Personal Information that is currently in the Company’s possession and/or the ways in which their Personal Data has been or may have been processed or disclosed, they shall submit a request form prescribed by the Company. Such request shall be handled as soon as practicably possible after the Company identifies the validity of such request and made by such customer.

Purpose of Use of and Sharing of Personal Information

The Company hereby publicly announces the purpose of use of and sharing of Personal Information (personal information of the customer’s directors, officers, and employees; such customer includes individuals who use or utilize the Company’s products and services such as a shipper or driver) on the basis of its privacy policy as follows;

1. Purpose of Use of Personal Information

The Company will not use any Personal Information obtained from customers for any other purpose than the following purposes;

• (i)   Sale and after-sale services (such as maintenance) of Company’s products;
• (ii)  Notification of information of new products, new services, and campaign via mail, telephone, email, visit, etc.;
• (iii) Planning, development, improvement, and research of products and services in order to improve quality and reliability aiming at satisfying customers with the Company’s products and services;
• (iv) Marketing survey to offer the customers the Company’s products at a more appropriate price and timing;
• (v)  Notification and inquiry to the customer in the case of occurrence of recall etc.;
• (vi) Providing the following services based on the information regarding the condition of each vehicle (such as the information of operation, location, control, failure);
  • • a. Assistance services for secure operation of the customer’s vehicle, which could contribute to reduction in failure the customer’s vehicle thorough the services such as the proposal for preventive maintenance, prompt repair in case of a failure on the road, diagnosis of a failure.
    • b. Vehicle operation support services for the customer. The services that gather and analyze operation data of the customer’s vehicle and offer vehicle location information for vehicle management and advice as to fuel-efficient and safe driving.
    • c. Services that statistically process and analyze the information of the state of the customer’s vehicle and offer customers and a third party traffic information, in case of a disaster, and real-time traffic information (traffic congestion and congestion information), etc.
    • d. Other services and products to satisfy customers with services and products.
• (vii)  Responding to customer’s inquiries related to the above and with respect to the handling of the Personal Information;
• (viii) In the event of a change in the Purpose of Use as set forth above, the Company shall notify or publicly announce the Purpose of Use in advance.
  In addition, in the event the Personal Information will be used for a purpose other than the Purpose of Use as set forth above, the Company will explain such use to the customer again and obtain the customer’s consent in advance to use the Personal Information for such other purpose.

2. Sharing of Personal Information

The Company will share and utilize the Personal Information for the smooth operation of its business, as follows;

• (i)    Items of the customer’s Personal Information to be shared
  Basic information such as name, address, telephone number, fax number, email address, and information regarding customer’s vehicle (including the information of vehicle condition)
• (ii)   Recipient company
• (iii)  Authorized Hino dealers in Vietnam published in Company’s official website
• (iv)  Hino group companies published in Company’s official website
• (v)   The Company’s business alliance partners, within a range necessary for providing products and services in accordance with the business alliance (in addition to those published in Company’s official website, such as distributors, trading companies, dealers of the Company’s products, frame makers, makers of automobile, automobile parts or supplies or trading companies, operation management service providers, vendors of system application, etc., research institutes, or other business alliance partners of sales, services, finance, insurance, rental, logistics, passengers, etc.)
